With great pleasure, Gallifrey One today is proud to announce the release of our Schedule of Events for our upcoming convention, Gallifrey One: 30 Years in the TARDIS in only a few short weeks! As in prior years, we are using the Sched online scheduling system for a seamless and easy-to-navigate program that can be used on your desktop or mobile device.

UPDATE JANUARY 24, 9pm PST:  The schedule has been updated several times since it’s been posted; we encourage you to keep checking back.  Changes today have primarily been focused on adjusting the early evening (6pm-10pm) discussion panels on Friday & Saturday; adding several new meet-up events (please note that some take place in Program F, others on the Convention Center Patio or Hotel Lobby); and adjusting a few Program F items on Sunday.  We’ve also updated the descriptions of most of the discussion panels this evening to include the moderator (listed immediately below the panel description).

What is currently on the schedule: All of our interviews, Q&As, live commentaries, panels and major events, kaffeeklatsches, evening receptions and fixed functions, as well as our children’s program, meet-ups and social events.

What is coming soon: Online sign-ups for this year’s kaffeeklatsches and tickets to the Science Workshops for Children and Families — both of which are already noted on the online schedule — will take place on Saturday February 2; see the announcement here.

What is not yet on this schedule: All Photo Studio photo ops and all autograph sessions, as well as this year’s gaming program, and the private limited-attendance events that are part of the sponsored Diamond Pass and TARDIS Tag packages.  These items will be added in the days to come.

As always, a full copy of this year’s program can be found in your Gallifrey One 2019 Program Book, given to each attendee at badge pickup. The book also contains maps of our facility, program grids for each day of the event, and tables of information listing special events, photo ops, autograph sessions, gaming and children’s programming schedules, and much more.

The following is our general guide to the convention, starting with badge pickup (attendees with tickets pick up their badges at our Registration desk, which allows you entry into the convention):

  • Thursday, February 14, 2019
    • 3:00pm — Early badge pick-up, open today from 3pm-6pm and 8pm-10pm
    • 8:00pm — Gallifrey One 2019’s Pre-Convention Launch Party and Ice Cream Social, plus our first night of karaoke
  • Friday, February 15, 2019
    • 9:00am — Registration reopens for badge pickup (until 7:00pm); gaming open (until midnight)
    • 9:30am — Program A opens for pre-event seating 
    • 10:00am — Main programming begins in Program A, C, D, E; video program begins
    • 11:00am — Dealers room opens (until 6:30pm); kaffeeklatsches begin
    • 12:00pm — All remaining programming open
    • Afternoon — Art Show opens 
    • Early Evening — Guest receptions (nominal charge)
    • 8:30pm to after midnight — Evening events run (including main stage programming, karaoke, evening panels, fan mixer, late night program)
  • Saturday, February 16, 2019
    • 9:00am — Registration reopens for badge pickup (until 7:00pm); video program continues
    • 9:30am — Program A opens for pre-event seating 
    • 10:00am — All programming tracks open; dealers room and art show open (until 6:00pm); gaming open (until midnight)

    • 9:00am — Registration reopens for badge pickup (until 1:00pm); video program continues; gaming open (until 5:00pm)
    • 9:30am — Program A opens for pre-event seating 
    • 10:00am — All programming tracks open (until 6:00pm); dealers room open (until 4:00pm or time approximate)
    • 10:30am — Art Show Auction
    • 12:00pm — The 30th Annual Bob May Memorial Charity Auction, benefitting the LASFS Building Fund
    • 6:00pm — Closing Ceremonies (main ballroom)

Please note that the above times are subject to change and may be altered at any time in the near future, so please stay tuned for our full schedule later in January.

Badge Pickup: Important Information

Attendees can pick up their badges at any time our Registration Desk is open (Thursday 3:00-6:00pm & 8:00-10:00pm Friday & Saturday 9:00am-7:00pm; Sunday 9:00am-1:00pm) for full access to the convention. If you would like to participate in our Thursday evening events, you must ensure your badge is picked up during these Thursday timeslots. We will not hold badges for you if you will be arriving after the times noted above.

Seating: Important Information

Program A (the main hall) will open each day for seating at 9:30am.  General seating is open to everyone during these times.  Although it may first appear that seating is light, we ask you to please fill in all available seats.

Reserve seating is held in Program A/B/C/D/E for attendees with special needs (who have registered at the Accessibility Services desk). This includes front row seating specifically reserved for hearing and vision impaired attendees.  We ask that you please pay attention to reserved seating signs and do not sit in these spaces if you have not been instructed to do so.

For the Catherine Tate and John Barrowman panels, we have specifically requested that attendees choose only ONE presentation by each of these guests, and not both, to ensure everyone can be seated.  For these events, as soon as the prior panel is complete, please note that we will allow seating in all open seats (except reserved Accessibility seating), regardless of whether you are saving them or not.  

You MUST fill in all available seats when asked by a Gallifrey One staff member. We reserve the right to restrict the ability in Program A to save seats for others who are not present at any time.

On Friday and Saturday evenings, Program A is closed from 7:00pm to 8:30pm for setup for our stage events The Idiot’s Lantern and The Masquerade of Mandragora.  Lines usually begin to form around 7:00pm so if you want a great seat, we encourage you to join the line at that time. Attendees should never hold places in line for parties larger than four.  Attendees who have registered with Accessibility Services will be instructed to meet at our Access Point for Program A, which is located just down the hallway between Program A and the Dealers Room; you will be seated at 8:10pm, immediately prior to opening the doors for general seating.
